Our Client is looking for a proactive and detail-oriented Administrative Assistant to support the daily operations of their photography business. This role is essential in ensuring that client orders are accurately processed, photo packs are prepared efficiently, and general administrative functions are handled with professionalism and care.

Job title: Administrative Assistant – Photography Studio
Area: Woodlands, Pretoria
Industry: Photography
Salary / CTC: R 8 000 – R 10 000 (depending on current earnings, qualifications, and experience)
Report to: Owners
Type: Half day with a potential opportunity to become full day

Key responsibilities:

Photo administration:
  • Sort, organise, and pack printed photos into correctly labelled folders for client delivery.
  • Quality-check all prints and packaging before dispatch.
  • Assist with digital file organisation and archiving.
  • Track and record completed orders.
  •  
Order processing:
  • Manage incoming client orders via email, online platforms, or in-studio.
  • Liaise with printing suppliers to ensure timely processing and delivery of orders.
  • Prepare and maintain accurate records of orders, invoices, and receipts.
  • Follow up with clients regarding collections, deliveries, and outstanding payments.
 
General administration:
  •  Answer and manage phone calls and emails in a professional manner.
  •  Update and maintain client databases and contact lists.
  •  Schedule appointments and coordinate bookings where required.
  •  Assist with general office duties such as filing, data entry, inventory checks, and supply ordering.

Qualifications and skills:
  • Proven experience in an administrative or office support role (photography or creative industry experience is a plus).
  • Excellent organisational and time management skills.
  • High attention to detail, especially with handling photos and packaging.
  • Strong verbal and written communication skills.
  • Comfortable working with digital files and basic photo formats (e.g., JPEG, PNG).
  • Proficient in Microsoft Office (Word, Excel) and basic email management.
  • Ability to multitask and work independently in a fast-paced environment.
