Are you highly organised, detail-oriented, and looking to grow your career in the print and production sector? Our client, a well-established company within the print industry, is seeking a dispatch administrator to join their busy team.

This role is perfect for someone who thrives in a fast-paced environment, enjoys problem-solving, and has the ability to manage multiple priorities while ensuring deadlines are consistently met.
Key Responsibilities:

  • Coordinate and manage the distribution of printed materials, ensuring accuracy and timeliness.

  • Receive and review print orders, verifying specifications, quantities, and delivery deadlines.

  • Accurately capture order and shipping details into QuickEasy (QE) and tracking spreadsheets.

  • Schedule and monitor production jobs in collaboration with the production team.

  • Maintain inventory records, ensuring stock levels are accurate and replenished when necessary.

  • Liaise with courier companies and arrange deliveries to meet customer requirements.

  • Prepare delivery notes, shipping labels, packing slips, and sustainability reports.

  • Track and monitor shipments, addressing any delivery delays proactively.

  • Inspect finished products for quality before dispatch.

  • Provide updates during team meetings and respond to client queries regarding order and delivery status.

  • Support with switchboard duties, filing, ad-hoc admin, and occasional production assistance.

Candidate Requirements:

  • Matric qualification.

  • Two–three years’ experience in a dispatch administration role (preferably within the print industry).

  • Familiarity with commercial/digital printers.

  • QuickEasy (or similar system) experience advantageous.

  • Strong computer literacy (Microsoft Office: Word, Excel, Outlook).

  • Ability to work independently as well as part of a team.

  • Proactive, energetic, and able to stay composed under pressure.

  • Disciplined, reliable, and flexible to work non-regular hours when required.
